MINUTES OF MEETING FEBRUARY 26 2015

 

Present : Unit 181 Board Members: Doug Fisher, Marielle Brentnall, Shirley Galler, John Hindle, Mike Shaw, Bill Treble, Marlene Pontifex, Len Doerksen & Barry Wolk
Also in attendance, Sue Treble, Bernia Brandstaedter, Debbie Gnoinski, & Carolyn Douglas.

Meeting called to order 5.45 P.M

2. Minutes of Meeting November 20, 2014 Moved by Marielle Brentnall, Seconded by Marlene Pontifex Carried

3. Minutes of Meeting January 22, 2015 Moved by Shirley Galler Seconded by Mike Shaw Carried.

4. Facility Report: January 2015 P&L Statement circulated. Net Income for month $955.00
Discussion followed, February will most probably be in a loss position because of Short Month and less table counts. Fixed costs, Rent , Utilities, etc remain the same.
The Facility will now use the 6 months of costs, from July to December 2014 to assess the Equipment and Maintenance section of the Signed Agreements with the Private Clubs who rent the premises. Marielle and Shirley will bring a proposal to our next meeting. All games will be assessed the fee which will include Tournaments and the Facility Unit Games and Private Clubs.

5 .Polar Bear Sectional was a disaster table counts were low , hospitality costs were double September’s actual. Loss of $855.00 The Handicap Knockout game that was played at this tournament had many negative comments, and will not be run again at any tournaments.

Motion: The Polar Bear Sectional is to be discontinued. Suggest that a Special Sunday 2 session Swiss Team game be run in late January. Moved by Marlene Pontifex Seconded by Shirley Galler Carried..

6. CNTC Subsidy Funding, There will be 4 teams in Flite A, 2 Teams in Flite B, run as a 2 session event. Flite C will be a one session game, with 4 teams participating.
There was discussion about the timing of this event. It was thought that late Nov. early Dec would be the time to do it before the snow birds leave, cannot have at the time of the Fall Nationals.
Have 3 qualifying games, 1 Wed evening 2 Sat afternoons. Games to be run Sept to Nov 2015.

7. Discussion on running a Thursday Evening Novice Game.

8. Bill Treble will be running classes Wednesday’s Morning & Afternoons.

9. Duplimate Machine. Parts still on order, Shirley Galler was looking into new machines, and will forward info to the board as it becomes available. It was suggest that Len Doerksen do some research into the possibility of used machines from the Spring Nationals.

10. Update on Funding. New Horizons Grant was not approved for us. We can reapply end of May.

11. Discussion on Long Term Planning, we should revisit what we are currently doing re the retention of members. We believe we require some newer board members who have the energy and the willingness to take on new roles. Newcomer committee is one that needs to be addressed. There should be more committees to handle individual aspects, and report to the board on a timely basis.

12. Spring fund raising. Suggestion made to have a Bridge Luncheon Game, this is very popular with many groups. Would play 12 hands of bridge sell tables at $60.00 would require door prizes, free plays etc. Will be reported back at the next meeting.

13. Rena Coulter Memorial game will be held April or May on a Wed Afternoon. Shirley Galler will be in touch with Rena’s Family to set a date.

14. AGM set for Saturday May 9, 2015.
